Inviting a User to QuickBooks Online (QBO) Australia
Multi-user Integration is a main advantage to cloud software but as with everything that automates processes, it still requires human thought.
Here is how to invite a user to your QBO (Australia) file:
-
Select the gear icon and then Manage Users
-
If you wish to invite your bookkeeper or accountant, ensure you are in the Accountants Tab and the final step. If you wish to invite anyone else, ensure you are in the User Tab. Click Add User which is on the right side of the screen.
-
This part involves thought. Which rights do you want this person to have?
Each option is well explained and should correlate to roles that are easily identified. Company Admin should only be given to a user that you trust with your file.
-
If you prefer not to give Company Admin access, you can select the Custom radio button instead which is more granular in the extent of rights you can give your new user. QBO explains in detail what the user will and won’t be able to do. When complete, click Next as per the previous steps.
-
Enter in the new user's details and QBO will invite them to access your file, prompting them to enter their personal log in credentials or create an account.
This workflow keeps your login details secure. Too many clients resort to sharing their passwords but this method protects your password and it allows the software’s audit trail to work as designed, which will note every person’s actions on the file. This is a useful feature and should be kept uncompromised.
